🎯 Tujuan

Menerbitkan invoice resmi dari Sales Order yang sudah dikonfirmasi, lalu mengirimnya ke billing contact yang tepat dengan reminder terjadwal.


πŸ”§ Langkah Operasional (End-to-End)

  1. Ambil dari Sales Order (SO)

  • Menu: Sales β†’ Orders β†’ Sales Orders β†’ pilih SO (Confirmed)

  • Klik Create Invoice β†’ pilih tipe:

    • Regular (100%)

    • Down Payment (persentase/nominal)

    • Partial (milestone)

  1. Review Draft Invoice

  • Customer & Billing Contact: pastikan child contact Finance (bukan Procurement).

  • Invoice Lines: produk/jasa, Qty, Unit Price, Taxes (PPN 11%).

  • Payment Terms: sesuai kontrak (mis. 50% DP, 50% setelah go-live).

  • Invoice Date & Due Date: auto dari terms (mis. Net 15/30).

  1. Validate (Post)

  • Klik Post β†’ status: Draft β†’ Posted, nomor resmi terbit (INV/…).

  1. Kirim ke Customer

  • Klik Send by Email

    • To: Billing contact (mis. Rina Kartika – Finance)

    • CC: Procurement (Andi) & Sales Executive (Budi)

    • Template email + PDF invoice terlampir

  • Log pengiriman tercatat di Chatter.

  1. Set Reminder (Collection)

  • Hβˆ’3 sebelum due date β†’ Email Reminder.

  • H+3 jika overdue β†’ Call Reminder.

  • H+7 eskalasi ke Finance Manager.

  • SO: SO/PT-SJA/001 (Total Rp 166.500.000).

  • Jenis: Down Payment 50% β†’ invoice pertama Rp 83.250.000 (sudah termasuk PPN).

  • Billing Contact: Rina Kartika (Finance Supervisor).

  • Due Date: 15 hari dari Invoice Date.

  • Aksi: Post β†’ INV/PT-SJA/001 β†’ Send by Email + set Hβˆ’3 reminder.

Subject email (contoh):
INV/PT-SJA/001 – Implementasi Odoo ERP (Jatuh Tempo 20/10/2025)

Body singkat:
β€œHalo Ibu Rina, terlampir invoice INV/PT-SJA/001 total Rp 166.500.000 (PPN 11% inklusif). Jatuh tempo 20/10/2025. Payment terms: 50% DP, 50% setelah go-live. Terima kasih.”


βœ… Best Practice

  • Selalu kirim ke billing contact (child contact Finance).

  • Cek PDF terlampir & nomor rekening perusahaan di template.

  • Gunakan template standar (subjek, badan email, tanda tangan).

  • Jadwalkan Next Activity setiap kirim/ingatkan invoice.

  • Dokumentasikan perubahan via credit note bila ada koreksi.


⚠️ Kesalahan Umum & Cara Hindari

  • Due date/terms salah β†’ pastikan terms benar di SO & invoice.

  • Pajak tidak terpasang β†’ verifikasi tax di product & invoice line.

  • Kirim ke PIC yang salah β†’ pilih Finance contact, bukan Procurement.

  • Tanpa reminder β†’ aktifkan Hβˆ’3/H+3 untuk menjaga cash-in.

  • Invoice Posted β†’ otomatis menambah Accounts Receivable & Revenue.

  • Muncul di AR Aging, Overdue, dan Customer Statement.

  • Siap dilanjutkan ke Register Payment & Reconcile oleh Accountant.
